About the Role

We are seeking a detail-oriented and proactive Administrative Assistant to provide high-level administrative support to senior leaders, including the VP, Head of Program Management, and other R&D teams. This position requires exceptional organizational skills, the ability to manage multiple priorities, and a high degree of discretion. The role is a contract position with potential to convert in 2026.

Key Responsibilities

  • Manage complex calendars and coordinate schedules using Outlook.
  • Organize meetings with internal and external stakeholders, including arranging logistics, equipment, and catering as needed.
  • Provide administrative support for remote senior leaders, including those based in Europe.
  • Arrange domestic and international travel, ensuring compliance with company policies.
  • Prepare and process expense reports.
  • Handle confidential and proprietary information with discretion.
  • Assist with vendor management, procurement processes, and contract requests.
  • Create and edit documents, presentations, and departmental communications.
  • Maintain organized departmental files and records.
  • Serve as a backup to other administrative assistants, including European colleagues.
  • Support additional projects and tasks as assigned.

Qualifications

  • 5+ years of administrative experience; experience supporting senior leaders preferred.
  • Strong proficiency with Outlook, Microsoft Office Suite, and virtual meeting platforms.
  • Experience coordinating travel and meetings, including international arrangements.
  • Proven ability to handle sensitive information with professionalism.
  • Excellent communication, organizational, and multitasking skills.
  • Ability to work independently in a fast-paced environment.
